What You'll Do

Answer and direct incoming phone calls professionally
Schedule service and maintenance appointments
Dispatch technicians and coordinate daily schedules
Communicate with customers about appointments and updates
Follow up on completed and rescheduled jobs
Assist with maintenance scheduling and service coordination
Maintain purchase orders and coordinate with suppliers
Support the Service Manager with estimates and administrative tasks
Monitor email communications and keep office records organized
Handle confidential information with professionalism

Customer service or office coordination experience
HVAC, construction, or service industry experience is a plus, but not required

This position functions as a Customer Service Representative focused on dispatching field service technicians and coordinating service activities to ensure timely resolution of customer requests, accurate order processing, and consistent documentation. The incumbent is responsible for managing inbound and outbound customer contacts related to service scheduling, status updates, billing inquiries, and routine problem resolution.

Primary objectives are to ensure efficient service delivery, maintain high first-contact resolution rates for routine issues, minimize dispatch-related delays, and provide accurate operational information to internal teams and external customers.

Objectives and Key Results (OKRs)

Objective: Improve on-time service delivery. Key Results: Increase percentage of appointments started within scheduled window to ≥ 92% over the next two quarters; reduce average technician travel/idle time by 10% through optimized dispatching.
Objective: Enhance first-contact resolution of routine service requests. Key Results: Achieve first-contact resolution rate ≥ 78% for scheduling/billing/administrative inquiries; reduce repeat customer contacts for the same issue by 15%.
Objective: Maintain accurate operational records and communication. Key Results: Maintain ≥ 98% completeness of service records in the company system; ensure customer notifications (arrival windows, delays, completions) are sent within defined SLA 95% of the time.
